Administrative Specialist
Monsido is a web governance SaaS solution designed to give your website visitors a superior browsing experience. Our time-saving auditing tool helps you work with confidence to optimize your online presence as we scan and track all of your data in a user-friendly dashboard and provide reports on web accessibility, quality assurance, web analytics, response time, SEO, and corporate policies.

Monsido has a global presence. We are headquartered in Copenhagen, Denmark with an office in Sydney, Australia and our office in sunny San Diego, California which you will be helping run.

Minimum Qualifications:

  • At least 3 years of proven experience as an Administrative Specialist or similar role
  • Experience with onboarding, data entry and employee files
  • Ability to multitask and adapt quickly to a fast-moving environment
  • Ability to prioritize and solve problems creatively is a must
  • Exceptional computer, interpersonal, and written/verbal communication skills
  • Strong task and time management skills
  • Strong math skills and understanding of basic financial concepts

Job Responsibilities:

  • Answer and route phone calls, respond to emails, maintain employee, financial, and client records, and data entry and reporting
  • Answer questions and find information for employees, vendors, clients, and other third-parties
  • Support employees by facilitating interdepartmental communications and interactions between internal and external vendors/third-parties
  • Develop and implement new internal policies and processes
  • Responsible for general invoicing, payroll, and AR/AP processes and tasks as needed
  • Monitor procurement content to ensure compliance to RFQ/Bid requirements, evaluation criteria, and technical requirements.
  • Monitor for relevant competitive procurement opportunities, assist in managing and circulating opportunities to the appropriate stakeholders.
  • Vendor management and other third-party logistical operations.
  • Occasionally assist with office upkeep, stocking supplies, and managing office equipment (clean coffee machines, maintain printer, build furniture, water plants, etc.)
  • Accurate and timely data entry and file organization
  • Assist with higher-level projects
  • Assist with new hire onboarding
  • All other duties as assigned

Other Qualifications

  • Working knowledge of Salesforce CRM preferred
  • Knowledge of Google Suite
  • Thrive on energy, passion and the desire to work in a fast-paced environment
  • Goal oriented and focused on attaining objectives
