Terms of Reference Communication Associate (Account Management), LICA 6 ( UNOPS) Private Partnerships and Philanthropy Section (PPH), Private Sector Partnerships Service (PSP), UNHCR Tokyo UNHCR, the UN Refugee Agency, is seeking a Communication Associate (Account Management), LICA 6 (UNOPS) to work with the Fast Retailing (FR)/UNIQLO partnership team within the Private Partnerships and Philanthropy Section (PPH) of the Private Sector Partnerships Service (PSP) based in Tokyo, Japan. Title: Communication Associate (Account Management) Duty Station: Tokyo, Japan Duration: 1 January 2020 - 31 December 2020 with possible extension based on performance. Contract Type: Local Support - LICA 6 (equivalent to General Service (GS) 6 grade) Closing date: 16 December 2019 (midnight Copenhagen time) Organizational context UNHCR ensures effective key account management by guaranteeing the quality of private sector relationships management against a defined plan set by the Organization to secure value for UNHCR. In the context of UNHCR’s long-term and multifaceted partnership with FR/UNIQLO, PSP’s account management team is leading this relationship work while following UNHCR’s operational processes, policies and strategies. It is crucial for UNHCR and the partner to develop and deliver high quality communication materials and to achieve the overall communication, outreach and visibility goals. Thus, the Communication Associate position will play an important role to ensure that these goals are achieved for maintaining and expanding the partnership. The incumbent's responsibilities will include: 1) to develop and deliver communication related activities and materials required in and outside of Japan in coordination with UNHCR HQ and Country Teams and FR/UNIQLO stakeholders; and 2) to support other activities designated by the Global PSP Account Manager to achieve the goals of the partnership. The Communication Associate will work closely with internal stakeholders such as PSP/PPH’s Corporate Unit; Private Philanthropy Unit; Partnership Support Unit; PSP Communications; DRS Livelihoods and Economic Inclusion; DRS Education Section; PSP APAC; UNHCR's Branch Office in Tokyo; national association partner, Japan for UNHCR; and other stakeholders. 1 The incumbent will also support the Global PSP Account Manager to achieve the objectives set for the FR/UNIQLO partnership and as new needs arise. The Communication Associate will act as a resource to provide administrative/logistic support for the partnership, which includes developing communication materials and visibility content for internal and external audiences; translating documents from English to Japanese and vice versa; procurement support pertaining partnership projects. The Communication Associate will work closely with Public Information and Communication colleagues as well as Administration colleagues in the UNHCR Tokyo Branch Office for quality control of the messaging and alignment of the global initiatives as well as support admin/financial aspects. He/she is also expecting to work with FR focal points in Japan for UNHCR on the partnership in Japan. The Communication Associate is expected to establish solid working relationships with external stakeholders such as FR/UNIQLO’s Sustainability and Communication teams and to provide high quality service and donor stewardship. Duties and responsibilities Under the direct supervision of the Global PSP Account Manager, Tokyo, the Communication Associate will perform the following duties: • Support production, management and quality control of communication related materials and documentation for UNHCR related to the UNHCR-FR/UNIQLO partnership in Japan and global, which includes development of content, documents, press releases, concept notes, proposals, briefing notes, minutes, reports in both English and Japanese and the translations from English to Japanese, and vice versa. Support communication activities, fundraising campaigns and key global initiatives linked to the FR/UNIQLO partnership, including World Refugee Day, the Will2Live initiative, Tokyo 2020 Olympics/Paralympics and the MADE51 initiative across fundraising markets both inside and outside of Japan. • • • Support the production of contents for use on websites and social media channels. Support high level meetings, donor missions, workshops and events organized in Japan and other countries. • • Support administrative, logistic and financial aspects of the account. Support the Global PSP Account Manager to achieve the objectives set for the UNHCR-FR/UNIQLO partnership. • Monitoring and Progress Controls • Setting a work plan with indicators/deliverables at the beginning of assignment and monitor periodically. • • Day-to-day supervision and mentoring by the Global PSP Account Manager. Periodic meetings with colleagues from UNHCR’s Tokyo Branch Office, Japan for UNHCR, PSP/PPH teams in Copenhagen, PPH APAC, FR focal points and other relevant colleagues. • Performance evaluation (mid-year and end-year). Essential minimum qualifications and professional experience required • Secondary Education with certification in either of the following: communication, social sciences, marketing, business administration or relevant degree. Minimum 6 years of relevant professional experience in areas related to communication in an international organization, preferably in the UN system and/or with UNHCR. • 2 • • Work experience in a Japanese corporate is desirable. Ability to deal with multiple tasks in a service/results-oriented manner in demanding working conditions that often have short deadlines. • • Ability to establish effective working relations with various stakeholders of different cultural and social backgrounds. Excellent written and verbal communication and negotiation skills in English and Japanese, which include good ability to prepare and translate documents (briefing notes, media contents, project reports and other communication materials) in English and Japanese. • • • • Good skills of use of Microsoft Office (Word, Excel, Publisher and PowerPoint). Proven experience using social media platforms, tools and tactics for engagement. Knowledge of UNHCR’s work, mission and mandate (e.g. refugee issue and humanitarian assistance). Field experiences from a humanitarian and/or development organization is considered an asset. Experience in managing partnerships with corporations and/or foundations is an asset.
