Upright Music is looking for a super-organized and proactive Talent Coordinator and Executive Assistant to join our growing team. The split position involves coordinating and structuring our recruitment and onboarding processes for new team members and providing executive assistant support to the management team.
Upright Music is a leading independent music company specializing in providing music for TV, advertising, documentaries, and films produced within the Nordics, the Baltics, and Poland. We are based in the heart of Copenhagen and also have an office in Warsaw.
The job
Upright Music is growing, and in the coming years, we will expand our amazing team with new employees. As a people-centric workplace, we want to maintain our unique Upright culture as we grow. We are, therefore, looking for that special someone who can organize and handle our recruitment process, ensure that we get the right new colleagues, and give them a good, structured introduction and onboarding to our team. At the same time, you will support the management team and assist them with daily time management, organizing and preparing for meetings, drafting and reviewing internal communications, and supporting day-to-day deliveries and tasks. In this position, you will be a dedicated part of the hiring team and the management, working in the company's backbone.
Primary tasks
Recruitment
- Coordinating all activities around recruitment across our functional areas and offices
- Creating and activating job posts in collaboration with hiring managers
- Getting back to candidates and informing them about the process
- Inviting for interviews and facilitating first interviews
- Handling material and tests for case interviews
- Giving feedback to candidates
Onboarding
- Coordinating all activities around onboarding across our offices
- Arranging onboarding plans and executing them
- Point of contact for new employees
Leadership Support
- Schedule internal and external meetings and manage calendars
- Organize and prepare for meetings: Gather documents and preparation material, prepare and proofread PowerPoint Presentations, etc.
- Draft, review, and send communications on behalf of the company
- Take notes at meetings
- Help with daily time management
- Coordinate internal events and engagements such as anniversaries and celebrations
- Keep track of internal projects and day-to-day People & Culture tasks
- Ensure everything is up to date in our internal systems (Confluence, People & Culture Handbook etc.)
- Plan travel, including flights and accommodation
Who you are
You are structured, good at keeping track of many different tasks, and self-driven, with a genuine interest in others.
You love being part of a company's backbone, supporting management and the team with administration and calendar bookings. You have strong coordination skills and take pride in ensuring daily operations run smoothly.
You enjoy and get energized by working with a wide range of people and assisting on big and small projects.
You are reliable and passionate about what you do and have a high sense of integrity and loyalty.
You can manage multiple tasks simultaneously on a day-to-day basis and in a strategic context.
You thrive in an international, creative, and musical environment and are eager to contribute to Upright Music's daily operations and development.
What you bring
- Work experience from a similar position is required (Recruitment Coordinator, Talent Acquisition Coordinator, People Coordinator, Project Coordinator, Executive Assistant, or similar)
- Excellent organization and time-management skills and a great eye for detail
- Thrives in an assisting and administrative role
- Excellent writing, editing, and proofreading skills – both in English and Danish
- Ambitious and eager to learn more about our company and team
- Team-oriented and service-minded in nature
- Good understanding of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excell)
