TORM is looking for a dedicated Crewing Assistant with strong organizational skills and attention to details. The Crewing Assistant ensures that assigned vessels are manned with seafarers whose documents are in compliance with local and international rules and regulations.

The Job
The Crewing Assistant will be part of Marine HR Crewing team consisting of fourteen employees, and you will be reporting to the Head of Marine HR Operations (PH). The right candidate will enjoy a role with the opportunity for vast cross functional involvement and insights in the whole value chain of TORM.

The Crewing Assistant ensures to coordinate, process, and monitor the documents of seafarers under assigned fleet.

The successful candidate will be responsible for:

  • Compliance and proper documentation of planned seafarers as per STCW and TORM Training Matrix.
  • The timely preparation/creation/processing of the following:
    • US, Schengen or other visas, flag state endorsement in relation to crew embarkation, training, and office visits
    • POEA contract, seafarer’s employment agreement (SEA) and other required documentation
    • Embarkation details (i.e. flights, documents) sent to vessel and agent in joining port
  • Scheduling pre-employment medical examination (PEME) of a seafarer and monitor its result.
  • Informing seafarers of final joining date and dispatch.
  • The quality and accuracy of uploaded documents in the Crew Personnel System and ensure that seafarers hold their original certificates on board.
  • Workwear is issued to joining seafarers or coordinated with vessel for onboard issuance.

The Profile
The ideal candidate should have the capacity to manage different priorities and is people oriented with at least two years of relevant work experience in the field of crewing operations. The right candidate holds a relevant educational background in maritime studies, psychology or equivalent.

Furthermore, you are/have:

  • Worked in a company with similar type of vessel profile
  • Knowledgeable in Crew Personnel Systems
  • Sound knowledge in STCW, flag state and visas
  • Proficient in the use of Microsoft Office Applications (Word, Excel)
  • File management and organization (physical and virtual folders)
  • Good at working in a team and with multiple stakeholders
  • Excellent customer service relation skills and with strong sense of urgency
  • Excellent communication skills and can relate to different types of people in the organization
  • Willing to be assigned in Cebu branch office from time-to-time
