Customer Service Specialist with an interest in life science products and international shipping

Do you want to be part of a team manufacturing and selling cell-based research products?

WCE LifeScience Services is part of a global family of companies manufacturing medicinal devices, cell therapy products and research products. You will be part of a small team manufacturing and selling primary cell products and cell media products for research purposes to international customers on behalf of a US based sister company, Cook MyoSite.

Responsibilities
Our new colleague is expected to interact with customers to receive orders and execute product shipments as well as other related activities such as preparation of shipments, inventory management, invoicing and accounting. Moreover, you are also expected to work with the rest of the team to ensure coverage of other quality and operational functions for the entire team and product portfolio. As such you must enjoy both routine activities as well continuous improvement of processes.

The group works in a versatile regulatory environment with various product authorizations in an ISO9001 certified quality management system which demands high quality documentational work.

Main tasks / Areas of Responsibility
Your main tasks will be to:

  • Add and maintain customer details as required
  • Communicate with customers
  • Prepare and maintain customer agreements
  • Prepare sales quotations, sales reports, data analyses and other information as required
  • Assess requests for additional services from existing and new customers
  • Outreaching customer contact for market research and potential sales
  • Work with and cover for team members in quality and operational functions
  • Manage incoming finished goods and inventory locally
  • Researching and advising customers on trade compliance including, regulations, shipping routes, documentation etc.
  • Shipping of products to customers
  • Invoice national and international orders, issue credit notes and handle returns
  • Assist financial department in accounting activities
  • Coordinate and generate responses to customer requests, inquiries and technical questions
  • Perform customer satisfaction evaluations including follow-up activities
  • Maintain company quality and safety standards
  • Participate in resolution of customer complaints
  • Generate and review quality system documents to ensure appropriate product quality

Qualifications
As a Customer Service Specialist you are expected to have the following qualifications:

  • An education within logistics, distribution or customer service.
  • Experience with customer service and order management
  • Experience with shipping and logistics including international shipping and export documentation
  • Excellent and effective communication skills in written and spoken English (full professional proficiency)
  • An outgoing person who thrives on contact with customers and colleagues.
  • Interested in being part of a small team that covers all functions of a manufacturing organization.
  • Able to handle many parallel tasks in a dynamic work environment, maintaining an overview and with an eye for details.
  • Comfortable working independently within your own areas of responsibility, but an excellent team player
  • Commitment to the areas of responsibility as well as continuous improvement
  • Superior time management and planning/organizational skills
  • Availability and willingness to travel for company business
  • Competencies and willingness to learn and cover for team members in other functions
  • Experienced Microsoft Office user
  • Experience with working under a Quality Management System is preferred.
