Are you excited to be part of a groundbreaking initiative at the forefront of AI in Denmark? We are seeking a highly experienced and proactive Executive Assistant to support the CEO of the Danish Centre for AI Innovation (DCAI).

About Us
DCAI is a newly established company, backed by the Novo Nordisk Foundation and EIFO, with a mission to accelerate AI research and innovation in Denmark. DCAI will operate Gefion, a state-of-the-art supercomputer designed to tackle large-scale AI projects across various fields, from healthcare and life sciences to the green transition and quantum computing. We are based in Copenhagen and collaborate closely with experts from both the public and private sectors, including partnerships with NVIDIA, to advance Denmark's position in AI and quantum computing.

The Job
We are seeking a highly organized and proactive Executive Assistant to support the CEO of our company. This role is critical to ensuring the smooth and efficient management of the CEO’s day-to-day activities, from strategic planning and project coordination to high-level communication and administrative tasks.

This is a senior-level role requiring exceptional organizational skills, discretion, and the ability to act as a trusted advisor and right-hand person to the CEO. The ideal candidate will have a strong track record of supporting C-level executives, demonstrated leadership capabilities, and a knack for problem-solving.

Requirements
CEO Support:

  • Serve as a primary point of contact for the CEO, managing communications, calendar, and priorities.
  • Anticipate the CEO's needs and proactively address them, ensuring efficient time management and productivity.
  • Coordinate complex travel arrangements, ensuring seamless logistics for both domestic and international travel.
  • Draft and edit correspondence, speeches, and presentations for the CEO.
  • Manage sensitive information with the utmost discretion and confidentiality.

Strategic support:

  • Provide high-level strategic and operational support, including researching, compiling, and presenting reports for decision-making.
  • Assist with governance management including board-level communications and preparation of materials for board meetings, investor relations, and committees.

Communication management:

  • Act as the gatekeeper for the CEO, handling all incoming and outgoing communications, including emails, calls, and meeting requests. Draft correspondence and reports as required.
  • Manage the CEO’s public engagements, including speaking events and media appearances. Partner with the Marketing and PR teams to prepare briefing materials and coordinate on opportunities.
  • Organize and prepare agendas for executive meetings, board meetings, and other high-level gatherings. Attend meetings, take minutes, and follow up on action items to ensure timely execution.
  • Coordinate high-profile events, including investor meetings, partner collaborations, and key internal events, ensuring all logistics are handled seamlessly.

Project Management:

  • Oversee special projects and initiatives as directed by the CEO, tracking progress, deadlines, and deliverables.
  • Serve as a liaison between the CEO and senior leadership team, facilitating clear communication and follow-through on key projects.
  • Build and maintain relationships with key stakeholders, clients, and partners on behalf of the CEO. Act as the representative to the CEO.

Professional and personal qualifications
To be successful in this role, it is therefore important that you have:

  • Minimum of 7 years of experience in a senior executive assistant role supporting C-level executives, including experience within a fast-paced and high-growth organization.
  • Proven experience in managing multiple priorities and projects with a high level of detail and accuracy.
  • Excellent communication and collaboration skills with the ability to work across teams and stakeholders. The EA must be able to communicate complex information clearly and concisely both verbally and in writing.
  • A solid understanding of the technology industry, particularly in areas related to computing, data science, and artificial intelligence. The EA should be able to grasp the technical aspects of the company’s operations to provide effective support.
  • A proactive approach and the ability to manage projects from initiation to completion, including planning, execution, monitoring, and reporting. Familiarity with project management tools and methodologies is a plus.

  • Able to handle sensitive information with the utmost confidentiality and integrity, always maintaining trust and professionalism.
  • Strong leadership and problem-solving abilities, with the ability to anticipate needs take initiative, and drive results.
  • Adaptable and flexible in order to manage urgent tasks with tights deadlines and with changing priorities.
  • Strong interpersonal skills and the ability to build relationships at all levels, internally and externally.
  • Proven ability to work independently with minimal supervision, while also being an effective team player.
  • Fluent in Danish and English – both verbally and in writing.
