On behalf of our client, a large international company, we are looking for their new Reimbursement Specialist to join their headquarters in Copenhagen. The new Reimbursement Specialist will be part of a diverse and complex organization where they prioritize collaboration across borders and departments, as well as an innovative approach to new challenges and projects.

This is a newly created role as a result of internal demand for such a specialist, since it has previously been handled by the payroll team. This means that your future colleagues already have knowledge and experience in these matters and will continue to support you to the extent that you need.

The payroll team consists of a handful of experienced colleagues who will make sure that you feel welcome and receive a proper onboarding. We are looking for a team player who works well in a relatively big team, but also someone with enough experience to challenge status quo and someone who can provide constructive criticism when implementing and optimizing different systems and processes.

The new Reimbursement Specialist will help ensure a reimbursement process that can handle the different issues that can arise as a consequence of incorrect data registrations, newly updated laws and conditions, etc.

Additionally, it is an advantage to have experience with implementation and/or best practices of certain reimbursement systems. Your main priority will be focusing on white collar employees; however, you will also assist with blue collar employees.

Furthermore, the new Reimbursement Specialist will be taking on the following tasks:

  • Responsibility for applying for reimbursement from the municipalities, Udbetaling Danmark, etc.
  • You will also support our People Function, managers and Finance with tasks related to absence and reimbursements.
  • Support the payroll team with correct data and conditions involving blue collar, white collar and student helpers.
  • Continuous contact with relevant external partners concerning reimbursement issues.
  • Assisting in identifying, reporting, mitigating and tracking risks in the payroll- and reimbursement delivery process.

The ideal candidate has + 5 years of experience within a reimbursement function from a diverse and complex organization. It is also an advantage (not a requirement) that the candidate has a broad experience with HR operations as well as experience with outsourced payroll models. Furthermore, a good understanding of financial aspects related to reimbursements is expected.

  • Knowledge of the reimbursement process from A-Z for all employment types – ideally from a big and complex organization.
  • Flexibility and adaptability to operate in a fast-paced environment.
  • Responsible and able to take ownership of your tasks.
