(Student) Assistant for Planning an International Partnership Conference in December 2024 in Copenhagen
The Danish Association of the Blind (DAB) is looking for an organised and dedicated (student) assistant to help plan and execute an important conference with partners from Asia and Africa taking place from December 8th to 15th in Copenhagen. We need someone who can start immediately and play a key role in coordinating all practical aspects of the event.

Tasks

  • Collaborate with the DAB international team to create systems for tracking and following up on various tasks, both before and during the conference.
  • Maintain a detailed overview of participants, including visa applications, arrivals/departures, special needs, etc.
  • Follow up on visa applications and provide support if needed.
  • Manage communication with the hotel and conference center regarding practical matters and deadlines.
  • Respond to practical questions from conference participants.
  • Research and arrange transportation, such as bus rental or local transport tickets for participants.
  • Organise all practical details for any potential full-day excursion.
  • Book venues and catering for meetings at the Danish Blind Association Head Quarters in Høje Taastrup.
  • Assist with airport pick-ups and drop-offs at Kastrup Airport as needed.
  • Arrange additional meetings with other organisations, members, politicians, or other relevant parties during the week.
  • Collect and organise receipts and other accounting-related documentation.

Skills and Competencies

  • Experience in event, course, or travel planning is preferred.
  • Strong attention to detail and ability to keep track of multiple tasks.
  • Sensitivity to participants’ needs, particularly in relation to the special requirements of our partners during their stay in Denmark.
  • Ability to handle many tasks simultaneously.
  • Proficiency in English, both written and spoken. Danish is not a requirement.
  • Respect for different cultures.
  • Willingness to assist and guide blind and visually impaired participants.

About the position
The position is based at DAB Headquarters in Høje Taastrup and is part of the international team, which consists of three project managers and a team manager. The role is approximately 15 hours per week with flexibility to accommodate your schedule, and will require full-time availability during the week of the conference in December. The position is temporary and runs until the end of this year.
