Overview:
As a key member of our small, dedicated team, you will report directly to the Executive Assistant, providing essential support across multiple functions. Your role will involve assisting with company vehicle administration, supporting the facilities Coordinator in health and safety compliance, contributing to facilities management, Event management and aiding in communication and branding efforts. This is a unique opportunity to work in a collaborative setting, where your contributions will directly impact the efficiency and success of our operations.

Key Responsibilities:
Project and Event Support:

  • Assists the Executive Assistant with project coordination, internal and external meetings, and large-scale event planning, providing logistical and administrative support from budget planning through to execution.

Communication and Branding Support:

  • Assist in creating and updating content for the intranet, publications, and presentations.
  • Support the management of branding materials, coordinating with vendors for production and distribution, and maintaining inventory control to ensure adequate supply.

Administrative Support:

  • Manage company vehicle administration, including related documentation.
  • Support senior leadership with expense reporting.
  • Check and process invoices for payment.
  • Provide reception coverage as needed.
  • Provides ad hoc administration support to Human Resources on a confidential basis.

Facilities and Health & Safety Support:

  • Support the Facilities Coordinator in maintaining health and safety compliance and ensuring a safe workplace environment.
  • Assist with coordinating maintenance activities and liaising with external contractors to ensure efficient completion of work.
  • Help manage and organize health and safety documentation.

What we are looking for:

  • Minimum 2 years of experience in an office setting, preferably in administration, or communications.
  • A Bachelor's degree in Business Administration or a related field would be beneficial.
  • Must be fluent in written and spoken English. Proficiency in Danish or Portuguese is a bonus.
  • Highly proficient in MS Office, preferably with experience in SharePoint.
  • Physically fit and capable of lifting and moving equipment or materials as required.
  • A valid driving license is beneficial for this role.
  • Demonstrates the ability to complete complex tasks and projects quickly with minimal guidance. Reacts with appropriate urgency to situations that require a quick turnaround and takes effective action.
  • Understands basic company structure, working relationships, and roles and responsibilities.
  • Maintains an efficient flow of information between all levels, including internal and external contacts, on a wide range of plans and priorities.
  • This role requires strong organizational skills, attention to detail, confidentiality, and the ability to support multiple functions effectively.
