The team
You will be an integral part of coordinating, establishing, and structuring our weekly leadership meetings comprising all our fund strategies. You will work with many stakeholders across our organization and be the go-to person and liaison for the teams involved in the meetings. You will work closely with the Personal Assistant team to make meeting scheduling smooth and make sure the leadership meetings always have the highest priority.
In this position, you will report to the Head of Executive Support, Marlene Hoerberg Lyster.
The role
As a Coordinator based in CIP's new headquarters in Nordhavn, you will get a key position. You will play a central role in coordinating and managing leadership meetings effectively.
Your key responsibilities will include, but are not limited to:
- Organize and manage all aspects of the coordination of CIP leadership meetings
- Ensure all necessary materials and reports for all meetings are uploaded to Admincontrol weekly and shared with participants ahead of time
- Proactively organize and maintain the leadership meeting calendar, ensuring alignment in the daily schedule and keeping calendars up-to-date including
- Serve as the primary point of contact for the organization, ensuring clear and timely communication
- Address and resolve any issues that arise during planning and coordination of the meetings, including updating calendars on an ongoing basis. This work is done in cooperation with the Personal Assistant team, the Strategy Team, and Investment Committee Office.
You
You possess solid relevant work experience from a position as Personal Assistant, Executive Assistant or Coordinator in a top-tier consulting firm, law firm, investment bank, large international company, or Ministry/Government Agency.
In addition, you have the following characteristics:
- Excellent time management skills: strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously
- Ability to multi-task in a fast-paced environment across a wide range of work streams/projects with constantly shifting priorities
- Resilient, service-minded, with a positive can-do attitude
- Proactive, with the ability to anticipate needs and take the initiative without being prompted, driving administrative processes and projects independently
- Ability to grasp the big picture yet track operational detail and overview
- Thorough with a high attention to detail
- Excellent interpersonal and communication skills
- Motivated, positive, energetic, and enthusiastic team player who is proactive and resourceful with a high level of professionalism
- Previous experience in a similar role is preferred
