About the role

We are looking for an Executive Assistant who enjoys handling diverse coordination tasks and is also sparring partner and go-to person, to contribute to creating a great and fun environment for a diverse, global, and dynamic team.

Responsibilities

While we expect you are effective in handling the support with administrative tasks on a day-to-day basis, we also hope you like to be involved in different projects, connect with our teams and helps us ensure our function is a great place to work in.

Your key responsibilities will include:

  • Proactively handle the calendar management
  • Support the manager with meeting scheduling, travel booking and expense management
  • Plan off-sites and social gatherings, take care of the travel management (including visa and bookings)
  • Support onboarding and offboarding for team members and become the go-to expert for our teams for various kinds of questions
  • Together with our Leadership team define department priorities, handle internal communication and coordinate internal change projects
  • Build your internal network within our EA community to ensure you’re always up-to-date related to internal policies and procedures
  • Take part of different assignments and projects, prepare communication, share materials and coordinate the different activities within the function
  • Resolution of day-to-day practical issues and queries including coordination with IT service Desk and People function.
  • Support on approval process for invoices and other administrative processes incl. budget follow-up
  • Being a great team ambassador and ensuring a trust-worthy relationship with the manager, leadership team, and other key stakeholder in the organization
