We are looking for a communicative and well-organised administrative professional, who will report to and provide support for our Chief People Officer & Head of Identity (CPO/HOI).
THE ORGANISATION
You will join BESTSELLER PEOPLE – our international HR department, consisting of a diverse set of skills within the areas of: Reward & Analytics, Social Responsibility, Development, Services and PEOPLE Business Partnering. We work closely together with the entire BESTSELLER organisation on HR matters, and we are represented at all our sites across the globe. While we are divided into different functions, we act as one unit and are all committed to providing excellent service for our colleagues in our global organisation.
THE POSITION
As Executive Assistant to our CPO/HOI, you will be at the heart of our HR initiatives, providing high-level support that spans administration, organisation, and communication. Your main responsibility will be to create structure and keep an overview of the projects, activities, and tasks that the CPO/HOI is engaged in.
More specifically, your responsibilities will include:
- Acting as intermediary between internal and external stakeholders and the CPO/HOI
- Supporting the CPO/HOI in terms of calendar handling, scheduling, travel coordination and expenses
- Following up on projects and tasks and heading defined projects yourself
- Assisting the CPO/HOI in the planning, preparation and follow-up on meetings, including creating and preparing agendas and presentations for both internal and external use
- Coordinating small- and large-scale international gatherings or other BESTSELLER, IDENTIY and PEOPLE related events
- Supporting the CPO/HOI with employee-related matters such as wellbeing, recruitment and onboarding of new employees
- Driving the yearly PEOPLE agenda including follow-up structure, communication and events
- Taking minutes and ensuring follow-up on decisions.

You are meticulous, you pay attention to details without losing sight of the bigger picture, and you can be trusted to handle tasks with discretion and loyalty. With a positive, can-do attitude, you are always at the disposal of the CPO/HOI and act fast, as new tasks and issues arise. Since PEOPLE and IDENTITY are central departments in BESTSELLER, serving both internal and external stakeholders, it is also key that you can communicate and cooperate with people at all functions, levels and locations in a professional and efficient manner. As a person, you are energetic and outgoing with a good sense of humour.
QUALIFICATIONS
- Experience providing executive support, preferably as an Executive Assistant within HR
- Experience in HR
- Fluent in English, both written and spoken
- Experienced user of MS Office, particularly PowerPoint and Excel
- Strong collaboration and communication skills
- Excellent time management skills
- Shaped and experienced by life’s surprises.
