We are looking for an experienced PMO Specialist to help our team of Offshore Project Managers and Specialists.
We need an experienced Project Manager with excellent communication skills and abilities to overview the Portfolio of Projects and play ball with management about how Project Management education, risk assessment and top tuning internal processes can further help the team in there deliveries and execution. Given that most of our projects are international, you will be in close contact with colleagues from various parts of the world where we execute Offshore projects.

How to contribute to our vision
The role has multiple areas to cover, Project coordination, Documentation and Reporting, Process improvement, Risk management, Resource management and Training and Support.

  • Project coordination:

As PMO Specialist your Key Responsibilities will be assisting in the planning, execution and monitoring of projects within the department portfolio. You will coordinate with project managers, team members, and stakeholders to ensure project milestones/KPI’s are met. You will also facilitate the communication and collaboration across cross-functional teams.

  • Documentation and Reporting:

As PMO Specialist you will be responsible for maintaining the comprehensive portfolio documentation, including portfolio plans, schedules, status reports, and meeting minutes.

You will prepare and distribute regular project status reports to stakeholders and senior management and assemble portfolio reports and coordinate SteCo meetings

You will be key player in ensuring that all project documentation is up-to-date and accessible.

  • Process Improvement:

In your role you will also be revising and challenging the ongoing processes together with your leadership.

We expect you to be able to Identify opportunities for process improvement within the PMO and recommend best practices and assist in the development and implementation of PMO policies, procedures, and standards. Together with the improvement of processes you will support the continuous improvement initiatives to enhance project delivery and efficiency.

  • Risk Management:

In your role you will assist in the identification, assessment, and mitigation of project risks. You will monitor and report on risk management activities and escalate issues as necessary. You will as well as identifying the risks, support the development of risk mitigation plans and contingency strategies.

  • Resource Management:

As PMO Specialist you will be involved in tracking the project resource utilization and report on resource availability and constraints. You will support the resolution of resource conflicts and ensure timely resource acquisition.

  • Training and Support:

In your role you will have the opportunity to develop yourself as well as look into how to provide the best training and support to project managers and team members on PMO processes, tools, and methodologies.

Well versed in the Project Management competencies you will also be expected to assist in the onboarding of new project team members.

You will be seen as a point of contact for project-related inquiries and support requests.

You interact with stakeholders high and low in the organization as well as external stakeholders. You are motivated by providing quality results within the deadlines and are happy to work in a dynamic organization and environment.

Qualifications

  • Bachelor’s degree in Business Administration, Project Management, Engineering, or a related field.
  • Minimum of 3-5 years of experience in a project management or PMO role, preferably within a manufacturing or OEM environment.
  • Proficiency in project management software and tools (e.g., Microsoft Project, Primavera, JIRA).
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams.
  • Knowledge of project management methodologies (e.g., IPMA, PMI) and best practices.
  • Ability to manage multiple projects and priorities in a fast-paced environment.

It is a big advantage if you thrive in a multi-cultural setting and are familiar with working in large organizations. It is therefore important that you have excellent English language skills, both written and spoken.
