Please note: This is a 1-year contract position with the possibility of extension depending on project needs.
The Project & Executive Assistant will play a crucial role in supporting both project operations and executive management within our team. This dual-function role requires excellent organizational skills, attention to detail, and the ability to coordinate both project logistics and executive support needs. This position will ensure smooth project workflows, efficient office operations, and effective executive coordination.

You will support initiatives including:
Project Assistant

  • Support project executive team with general administrative duties.
  • Support project executive team with travel bookings.
  • Provide the project executive team with reasonable personal support from time to time, this could include support for medical, and personal services providers, and could also extend to how to use certain apps and personal bookings.
  • Collaborate with our Office Managers on administration duties as required; this could include supporting office-based events, backfilling for Office Managers during holidays, and or supporting meetings and other activities.

Executive Assistant

  • Comprehensive Support for our two Co-CEOs: Provide dedicated assistance to the CEOs including managing calendars, scheduling meetings, and coordinating all travel arrangements to ensure smooth logistics.
  • Support CEOs with prioritizing and responding to general emails.
  • Meeting and Event Coordination: Plan and organize meetings, prepare agendas and arrange venues for team gatherings, dinners, receptions, and events involving project partners and key stakeholders.
  • Visitor and Guest Services: Manage office access, visitor passes, and reception services, ensuring a welcoming experience for both internal and external guests, and providing logistical support during senior management visits.
  • Ad Hoc Personal Assistance: Offer flexible, personalized support to the CEOs as needed, adapting to evolving requirements and ensuring efficient assistance

To succeed in this role, you:

  • Minimum of 5 years in an administrative, project coordination, or executive assistant role
  • Strong organizational skills with a high degree of attention to detail
  • Proactive and able to work efficiently under pressure
  • Strong interpersonal and communication skills
  • Proficient in MS Office Suite
  • Fluent in English and Korean
