Senior Management Support Consultant (Personal Assistant)

Join us in this role where you’ll be providing administrative assistance and support to the Ørsted Malaysia Country Director, who is also the Head of Business Applications in our IT organisation. As Management Support Consultant, you’ll be the director’s closest daily partner on administrative and operational tasks to ensure that day-to-day engagements run smoothly and obligations are met. You’ll collaborate with the Country Management Office team consisting of business strategists and communication specialists.

You’ll be part of the IT Management Support team (ITMS) where you, together with your colleagues, will provide support to our IT Centre of Excellence, while reporting to the Chief of Staff. Our responsibilities are broad and we excel at delivering seamless administrative support to the IT management team, acting as sparring partners and providing practical guidance and solutions. You’ll work closely with your colleagues in ITMS on large, cross-functional administrative and coordination tasks. You’ll play an important role in:
- providing and coordinating administrative assistance, incl. travel and calendar planning, expense management, business materials and managing ad hoc tasks as required
- preparing, coordinating, and following up to maximize your stakeholders’ productivity and ensure they’re well prepared with all materials for meetings, activities and events
- being a trusted advisor in business management and confidential matters by staying ahead and being prepared for the management's needs before they arise
- acting as a liaison for management to help bridge local Malaysia knowledge and contexts, including local authority processes and reporting for seamless business integration and understanding
- coordinating yearly business processes and driving shared tasks across the Ørsted IT organisation and Country Management Office in collaboration with the broader ITMS team
- building and maintaining stakeholder relationships both internally and externally to acquire and maintain business information flow and processes.
To succeed in the role, you:
- demonstrate proven experience in personal or executive assistant roles, preferably in a multinational company working with in diverse workforce and matrix organizations
- exhibit strong organizational skills by multitasking, prioritising effectively, and maintaining a high level of attention to detail in a fast-paced environment
- are a strong team player and can build and maintain professional relationships with internal and external stakeholders, ensuring effective communication and collaboration
- communicate proficiently in writing and speaking and handle sensitive information with the utmost confidentiality and discretion
- have proficiency in using various software tools (MS Office and SAP are an advantage) and quickly adapt to new technologies and systems for administrative delivery
- hold a bachelor's or a master’s degree in business administration, business management, business strategy, communication, or equivalent.
