Job Description:
We are seeking an experienced and dynamic Global Event Specialist to join our team. The ideal candidate will be responsible for planning, executing, and overseeing high-profile events for media and influencers across the globe. As well as, conceptualizing, designing, and executing visually stunning and impactful events. This role requires a blend of creativity, strategic planning, logistical management, and exceptional design capabilities. The Global Event Specialist will ensure that each event aligns with our brand’s vision and objectives, providing a unique and memorable experience for all attendees. You will also be responsible for creating comprehensive guidelines to standardize the planning and execution of events across different regions.

Your responsibilities would be:

  • Event Planning & Strategy:
  • Create event proposals and detailed plans that cover all aspects of the event, including objectives, target audience, budget, and timelines.
  • Work closely with our roster of global event and production agencies.
  • Concept Development:
  • Lead the creative vision for global events, from initial concept through to final execution.
  • Develop innovative event themes, designs, and experiences that resonate with media and influencers and align with brand objectives.
  • Collaborate with stakeholders to understand event goals, audience preferences, and brand guidelines, ensuring all design elements are cohesive and impactful.
  • Logistics & Operations:
  • Manage all logistical aspects of global events, including venue selection, vendor negotiations, transportation, accommodation, and on-site execution.
  • Coordinate with cross-functional teams to ensure seamless event operations, from setup to teardown.
  • Ensure that all hospitality arrangements (food, beverage, entertainment) meet the expectations of VIP guests and reflect the event’s theme.
  • Collaboration & Communication:
  • Work closely with the event planning, marketing, and production teams to ensure that design concepts are seamlessly integrated into the overall event plan.
  • Communicate design ideas and updates effectively to all stakeholders, including clients, vendors, and internal teams.
  • Lead design presentations, providing clear explanations of design choices and revisions as needed.
  • Budget & Resource Management:
  • Develop and manage budgets, ensuring all creative elements are delivered within financial constraints.
  • Optimize resources by selecting cost-effective design solutions that do not compromise on quality or creativity.
  • Negotiate with vendors and suppliers to secure the best prices for design materials and services.
  • On-Site Design Management:
  • Oversee the setup and execution of design elements on-site, ensuring that the event space is transformed according to the approved design plan.
  • Address any design challenges or last-minute changes during the event setup, maintaining the integrity of the original concept.
  • Conduct post-event evaluations to assess the effectiveness of the design and identify areas for improvement.
  • Guideline Development:
  • Create comprehensive event planning and execution guidelines to standardize processes across different regions.
  • Stakeholder Management:
  • Build and maintain strong relationships with key influencers, media representatives, and vendors to ensure successful collaborations.
  • Communicate event goals, expectations, and updates clearly and effectively to all stakeholders.
  • Performance Measurement & Reporting:
  • Develop metrics to assess the success and ROI of each event, including attendee satisfaction, media coverage, and social media impact.
  • Prepare detailed post-event reports with insights and recommendations for future improvements.
  • Analyze data to identify trends, strengths, and areas for improvement in event planning and execution.

Something About You:
You are an excellent project manager with a creative vision, a sophisticated eye and great attention to detail. You excel at working cross-functionally and managing key stakeholders both internally and externally. You are comfortable with being external facing with media, influencers and other stakeholders. You’re able to think both globally and locally, thrive in a fast-paced environment and are a strong retro-planner.

To excel in this role you should have:

  • Experience: 5+ years of experience in event or activation management, with a focus on global events and be comforatble with media and influencer engagement.
  • Skills:
  • Proven ability to manage events with a global audience.
  • Exceptional creativity and artistic vision, with a proven track record of designing high-impact events.
  • Strong logistical and project management skills, with the ability to handle multiple tasks and tight deadlines.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and high-profile individuals.
  • Attention to detail and a commitment to delivering high-quality work under tight deadlines.
  • Strong negotiation skills and budget management experience.
  • Ability to travel internationally as required.
