On behalf of Mercy Ships Danmark, MARPRO Group is looking for a Secretariat Manager to ensure that our financial and administrative operations run efficiently and professionally.
About the Position:
As the Secretariat Manager at Mercy Ships Denmark, you will be responsible for the organization’s financial and administrative operations. Your role will be central to ensuring strong management and oversight of our daily work while supporting our mission.
Your responsibilities and tasks will include
Finance
- Weekly bookkeeping of all income and expenses
- Processing and payment of invoices
- Monthly budget follow-up, including financial analyses for management and Mercy Ships International
- Preparation of applications for public funds and other grants (not foundations)
Administration
- Collaboration with auditors and external partners
- Creating an overview of administrative procedures
- Personnel administration (HR is handled by the director), including time tracking (working hours, absenteeism, vacation), preparation of employment contracts, reimbursements, etc.
- Payroll and handling of payroll systems
- Insurance management
- Administrative on- and offboarding of employees
- GDPR and compliance (ensuring GDPR compliance and implementing procedures and guidelines)
- Handling external enquiries (email, phone, e-Boks, and virk.dk)
- Collaboration with the office community at Kaj Fiskers Plads for office management, including purchasing, tidying, cleaning, and catering for events
Professional competencies required
- Solid experience with accounting, bookkeeping, reporting and financial management
- Experience with personnel administration and its legal aspects
- Is familiar with GDPR and compliance
