Finance Service Delivery Centre (SDC) Assistant

For our newly opened Service Delivery Center for Finance Operations we are looking for an experienced Finance SDC Assistant.

The purpose of the Finance SDC Assistant role is to provide essential administrative support to Head of SDC Warsaw and SDC Leadership Team. This role contributes to the smooth operation of SDC community assisting in various administrative tasks, and contributing to the efficiency and effectiveness of the SDC Warsaw leadership team.

Your responsibilities:

  • Coordinate, plan, and manage the calendar and schedules for SDC Warsaw leadership team.
  • Arrange meetings and events, with logistics taken care of.
  • Coordinate and create internal communication content for the SDC community.
  • Manage, develop, and update the SharePoint content for the SDC team and other internal users.
  • Arrange travel plans and manage expenses.
  • Prepare documents, reports, presentations, and status updates for SDC Warsaw activities.
  • Maintain follow-ups on commitments, responsibilities, and any potential risks or issues·
  • Update databases and lists to ensure accurate information·
  • Provide colleagues with necessary project management tools and templates, such as risk logs and status reports·
  • In collaboration with Office Manager, assist with internal moves and seating arrangements upon request.
  • Support SDC Warsaw colleagues on various projects within the SDC.
  • Assist with ad-hoc administrative tasks as needed by the FinOps or SDC Warsaw leadership team.
  • Contribute to the development of new internal processes and ways of working in alignment with GN policies.
  • Continuous improvement efforts for existing internal processes and ways of working within the SDC Warsaw.
  • Facilitate onboarding of new team members into SDC making sure they are well equipped with knowledge on the SDC local regulations, ways of working and supporting their development within the organization.
  • Participate in transition activities as required.

Our requirements:

  • 3 – 5 years of experience with administrative work or project work, especially experience in finance or transition projects.
  • Experience with project management and stakeholder management.
  • Organizational skills, good at organizing priorities and sorting through tasks.
  • Capable of addressing tasks in dynamic work environments.
  • Microsoft Office (Outlook, Excel, Word, PPT, SharePoint and other Microsoft Tools).
  • Full professional proficiency of written and oral English required.
  • Communication skills.
  • Management of group tasks.
  • Mindset and process-oriented.
  • Personality focused on people.
