Programme Assistant

Provides administrative support working closely with the programme team and other operation team members to ensure the timely and effectively of deliverables: 1) System management support; 2) support in small grant administration and 3) day-to-day administrative support to programme team.

This job description does not entails acting in a senior position when required. Regardless of the content of this job description the employee is expected to participate in any task necessary for the organization delegated by the manager at all times.

Main Responsibilities:

    • Administrative Support: Provide quality administrative support to the Programme Team such as documenting Partner information; updating and sharing programme reports; making operational arrangements in organising Programme events/meetings/ travels and maintaining web based (Intranet) data management system.
    • Coordination: Effective coordination with operation team specifically on project related organisational documents, fund transfers, partner reports, audit reports etc.
    • Report Compilation: Support Programme Team in coordinating with the partners and making a follow up for timely reporting and compilation of the reports received from them.
    • Calendar Management: Manage and update program calendar and events.
    • PPD System update: Check the folders in the system (PPD) to ensure all necessary documents are uploaded by relevant project staff. Ensure the project documents are scanned, filed and uploaded into the system (Teams and PPD)
    • Project Maconomy: Set up the projects in Maconomy and PPD.
    • Logistics support: Provide logistics support in organising and coordination for programme related events/ workshop/travel etc.
    • Meeting and Minute: Participate in program/partners meetings and prepare the meeting minutes.

    COMPETENCIES & QUALIFICATIONS
    COMPETENCIES

    • A high degree of integrity, accountability, energy and flexibility.
    • Experience in finance/accounting, grant management, and project management; preferably with institutional donors,
    • Ability to read, understand, and communicate guidelines on compliance and accounting regulations.
    • Ability to build partners’ capacities on financial systems and administrative skills
    • Comfortable helping others prioritize and stay organized in a busy, fluid environment,
    • Ability to work independently and in groups, manage multiple tasks concurrently, and meet deadlines with attention to detail and quality,
    • Ability to work calmly and professionally under pressure,
    • Well organized and able meet deadlines,
    • Excellent interpersonal skills and demonstrated ability to interact professionally with culturally and linguistically diverse team members,
    • Able to independently gather information necessary to complete tasks.

    QUALIFICATIONS

    • Bachelor’s Degree in business administration, social development/law, or accounting/finance,
    • 1-2 years of experience supporting institutional grants processes; preferably with regards to financial support to third parties, 5 years total experience preferred,
    • Computer (Word, Excel, PowerPoint, Outlook, Internet, Data Base, etc.)

    Work related travels are expected in this position.
