The International Department is responsible for DCA’s Humanitarian Response and Mine Action unit (HRMA), the Programme, Advocacy, and Learning unit (PAL), the Global Partnerships and Resource Mobilisation Unit (GPRM), the Strategy and Quality Management Unit (SQM), and the Safety & Security Unit. All units are key for DCA in the support of country offices across Africa, Asia, Ukraine, and the Middle East.

At headquarters in Copenhagen, the International Department is a team consisting of 80 employees. The new colleague in this position will be part of the International Management & Support team with 9 employees. You will be part of a group of 3 administrators that support each other.

You will become a central part of the International Department, and your primary task will be to support the efficient administrative and financial management of projects in the department units. You will support Heads of Unit, Team Leaders, as well as Advisors with project administrative support including budget management.

Key tasks and responsibilities
Project related financial and administrative management:

  • Programme and Project Manual (PPM): Support advisors in the creation, update and management of project folders in PPD.
  • Programme and Project Documentation (PPD): Fill in and save relevant documents, quality assure PPM documents for selected units and provide guidance and support on filling.
  • Projects in Maconomy (ERP system): Create and close projects, support selected units and teams if/when reallocation of funds, budget amendments and end-of-year reconciliation are needed.
  • Finance and bookkeeping: Accounting of invoices and transfer funds; assist with reimbursements; support on contract related questions e.g. external consultants, ad hoc cooperation agreements, procurement procedures etc.

Department & Unit Budgets, and Finance management

  • Support in preparation, monitoring and adjusting, reconciliation and reporting of office running budgets of International management including heads of units.
  • Support development and roll out of procedures and practices related to finance/project management, budget monitoring tools & systems.

Support to Management in International Department:

  • Support knowledge sharing and communication within international department and across the organisation.
  • Coordination and collaboration with the other administrative and finance officers/coordinators in International Department and Finance Department.
  • Assist, if needed, in preparation and implementation of workshops, conferences, retreats, external visitors etc.

We expect the following qualifications from you

  • Professional experience working in a support function to management and with a relevant educational background
  • Strong organisational and structural skills with ability to plan, coordinate and lead processes that includes multiple stakeholders
  • Experience with finance, budgeting, and working in ERP systems
  • Flexible and prepared for many different colleagues approaching and seeking support and advice
  • Experience working with people from different professional and cultural backgrounds
  • Positive, accommodating, and helpful by nature and uses this actively in communication with colleagues and other stakeholders
  • Fluent in English - Danish is an advantage
