About the role
We are looking to hire a promising Administrative Assistant, to join our CEO office Team in our HQ based in Luxembourg. You will report to our Head of CEO Office.
In this role you will get the chance to work with different stakeholders, internally and externally, and you will have a wide range of responsibilities, mainly focusing on supporting the Bank’s committees. You will also support your team members on various other administrative tasks as needed.
What you will be doing
- Organize and schedule committee meetings and other appointments
- Run committee meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain CEO office policies and procedures
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
What we are looking for
To be the right candidate for this position, we expect you to have 2-3 years’ experience from a similar administrative role.
We expect you to be bright and effective, and your can-do-attitude is more important than your educational background.
You can demonstrate maturity, openness, and the ability to interact with a diverse range of people and manage situation with patience and understanding.
You are very strongly committed to provide exceptional service, while always prioritizing the needs and satisfaction of stakeholders and Directors.
Furthermore, you have excellent organizational and written communication skills with a keen eye for details, and you can multitask and manage your time and tasks effectively in a busy office environment.
As a person we expect you to be great to be around, always with a welcoming attitude. You possess strong interpersonal skills, and the ability to always build positive relationships with internal and external stakeholders. You are a great communicator, and you are a quick learner who takes responsibility for the tasks given to you.
As Banking Circle is an international company it’s a requirement, that you are fluent in English verbally and in writing. If you master other relevant languages, it will be an asset.
