Personal Assistant - Head of HUB DK & CE Engineering

Join us in this role where you’ll play the pivotal role in supporting various administrative activities of department. Your primary task will be to ensure proper long-term planning of meetings and on-time delivery of material in the right quality for the HUB DK & CE Engineering. You will also ensure close cooperation with other Personal Assistants in department and the Regions, as well as the Executive Assistant, striving towards more structured ways of working, efficient processes, higher quality, and value creation in the end product.

Welcome to HUB DK & CE Engineering
You’ll be part of the HUB DK & CE Engineering team where you, together with your colleagues, will manage calendar planning, travel bookings, planning of events, proofreading, ad hoc assistance, and updating of lists for both the Head of department and the direct reports.

You’ll play an important role in:

  • managing calendar planning, travel bookings, planning of events, proofreading, ad hoc assistance, and updating of lists for both the Head of department and the direct reports
  • handling time registrations and other SAP-related tasks on behalf of the Head of department
  • replying to in-house and external inquiries on behalf of the Head of department
  • coordinating management meetings and ensuring input from senior management team and extended management team is delivered on time and in the right quality
  • performing presentation support, including developing presentations for meetings and managing documents and reports in advance of and subsequent to meetings
  • taking minutes and ensuring follow-up on actions between management meetings.

To succeed in the role, you:

  • have a degree in Business Administration, Communications, or similar, or equivalent experience
  • have 2+ years of experience as a Personal Assistant / Assistant with close reference to the management team
  • speak and write Danish and English fluently
  • have an open and service-minded approach to colleagues and stakeholders
  • able to prioritize and organize time and tasks efficiently in a service-minded and proactive manner
  • have strong collaboration and networking skills.
