We are looking for an additional member of our successful Copenhagen FM team to join us in August 2024 for a 11 month maternity cover contract.

The Role & Department
The Senior Associate, Facility Operations will provide administrative support to the department, and particularly the local Facility Leadership Team. The role is based in our new headquarters in Valby and is on-site.

A positive, pro-active, and service minded 'can do' attitude is essential for this role which is pivotal for the success of the department.

Main Responsibilities Include

  • Create PRs and manage POs through SAP (keep track of created POs and update the records accordingly)
  • Support the FM team with any SAP / finance related issues
  • Use SmartSheets to organize and track projects and tasks in the department
  • Proactively and independently organize and expedite workflows, and initiate follow-up when necessary to ensure schedules and deadlines are met
  • Manage Teams sites, electronic files, databases, and other data in a systematic way for enduring use
  • Manage all department contracts via DocuSign and archive in Knowliah
  • Maintain up-to-date organizational information for the organization (e.g., organizational charts, headcount trackers, department dossiers)
  • Use appropriate discretion in the management of information and stakeholders
  • Responsible for seamless execution of event logistics including conference room reservations, teleconferences, videoconferences, and associated meeting logistics
  • Manage all travel required on behalf of Manager(s), and occasionally for extended leadership team. This may include complex international travel (e.g., visa preparation, ground, hotel) and managing local itineraries
  • Some management of meeting logistics internationally will be required, working with Genmab colleagues in other countries
  • Create and submit various expense reports in Concur
  • Create and edit Word documents, PowerPoint presentations and Excel worksheets
  • Coordinate and provide key information to other business units as appropriate
  • Work closely with other administrative partners within the CPH site and across the Global Leadership Team in FM
  • Serve as SharePoint administrator and site owner
  • Assist with group operations through scheduling governance, department, or project team meetings. Draft meeting agendas, meeting minutes, and/or assist with tracking milestones and action items (Site Operations Meetings, New HQ etc.)
  • Initiate office engagement activities that foster a collaborative and diverse global team culture consistent with our values
  • Coordinate and support organization of diverse on-site events (social activities, celebrations, anniversaries, office move-arounds etc.)
  • Act as the go-to person for office/site/basic needs
  • Ad-hoc projects work as required.
  • The Employee shall also render such other related services and duties as may be assigned to him/her from time to time by his/her supervisor.

Requirements

  • Proven experience in project and task management, with the ability to prioritize and manage multiple tasks efficiently
  • Strong organizational skills with a high attention to detail
  • Experience with SAP and procurement processes
  • Excellent communication and collaboration skills, with the ability to work effectively with diverse teams and across global sites
  • Strong commitment to maintaining up-to-date organizational information and supporting operational efficiency
  • Knowledge of Smartsheet, Concur and Knowliah is desirable
  • A pro-active, enthusiastic and goal orientated problem-solver
  • Super user of Work, Excell and Powerpoint
  • Strong communication skills - both oral and written. English is our corporate language, and all written materials are produced in English
