The position

As Department Assistant, you will be responsible for planning, preparing, optimising and following-up on a wide range of administrative tasks and processes across the area. You will be a key person in the department with the primary responsibility to ensure the office is kept in order and support your colleagues with administrative tasks.

With a proactive and service-oriented approach your main tasks will be:

  • Support the management team in meetings, plan, schedule, take minutes and follow-up on action plans
  • Support with financial control within budget and accounts, do monthly follow-ups and handle procurement
  • Be leading responsible for various GMP lists in the department, and have a role in preparation for inspections
  • Act as super-user of various IT systems and maintain and update Department folder, SharePoint, Teams-sites and Outlook groups
  • Plan and prepare onboarding of new employees

In addition to the primary responsibilities of the Department Assistant role within the department, you will also be responsible for booking, planning, and coordinating events and seminars for the teams and department. You will also be expected to handle internal and external communication on behalf of the department.

Furthermore, you will perform the role of Local Records Manager (LRM) for physical records, which includes maintaining and organizing records, as well as being involved in inspections and audits if documentation needs to be presented.

Qualifications
We are looking for a Department Assistant with solid experience, who is passionate and eager to take ownership of diverse assignments ranging from administrative tasks to independent coordination and follow-up.

As an ideal candidate, you:

  • Have 4+ years of relevant working experience from a role within administration, governance support and/or meeting planning
  • Can communicate effortlessly, both verbally and written in English and Danish at business level
  • Are a skilled user of IT systems, including MS Office and SAP, and a fast learner to pick up new software skills
  • Are used to work with many stakeholders on all levels and used to build strong networks and relations
  • Are self-motivated, work independently and are used to thinking steps ahead of others and secure coordination

As a person, you are organised, work systematic, dedicated, and have a strong focus on quality. You enjoy working with administrative processes and proactively share your suggestions for improvement. You have a ‘can-do’ attitude and enjoy working with tight deadlines as a part of a dynamic area. In your role, you will refer directly to the Director for the department.

About the department
Our department is acting as quality support for all Aseptic production in Gentofte, where medicine is produced in a sterile environment for people living with serious chronic diseases. We bring value to our patients by assuring safe and high-quality products in accordance with Good Manufacturing Practice (GMP). The department are currently growing to support our production facilities located in Gentofte and consists of more than 70 highly qualified employees led by an engaged and experienced leadership team. You will be a part of a department where behavioural targets are driving our culture and where setting direction for quality is driven through quality oversight and our ability to support and drive improvements. We are producing at full speed on existing lines while building and ramping up new state of the art facilities.
