Administrative Coordinator

DIS is looking for a dynamic and highly organized administrative coordinator to help us with Kollegium administration.
DIS is a study abroad program for students from American universities who spend a semester studying in Denmark or Sweden. DIS owns and operates six Kollegiums, offering high-quality housing to both local students on long-term contracts and DIS students for their semester abroad.
Who are we?
The Housing and Student Life Department is a dynamic office dedicated to supporting students through various housing options and every aspect of their experience outside the classroom. From organizing student events and assisting with visa applications to providing mental health support and fostering community engagement, our team ensures students have a fulfilling and well-rounded experience abroad.
What are we looking for?
As an Administrative Coordinator, you’ll collaborate closely with our Kollegium administration team to ensure a smooth, supportive experience for applicants and high-quality service for local Kollegium residents. Your responsibilities will include administering recruitment, offers, and contracts, as well as addressing general housing inquiries.
Your primary tools will be email, Excel, and our internal database, and you’ll work alongside colleagues within the department, across DIS, and with an external administrative company.
We’re looking for a team member with prior administrative experience, ideally with some knowledge about processes related to working in the “housing” area.
Main tasks and responsibilities
- Respond to email inquiries from prospective and current residents
- Recruit local residents, including planning and facilitating workshops
- Coordinate with an external administrative company on DIS rental contracts, including subletting and contract extensions
- Address and support local residents with concerns or complaints
Professional and personal competences
- Fluency in both Danish and English (spoken and written) - this is a requirement
- Strong administrative and logistical skills
- Advanced proficiency in Excel
- Confident in presenting and facilitating workshops for large groups of prospective residents
- Quick learner who thrives in collaborative settings
- Excellent multitasking skills with a keen attention to detail
- Enjoys working independently and adapting to an agile work environment
At DIS, you will be working in an informal, enthusiastic, and international environment together with a team of dedicated staff and faculty for an organization that emphases cross-cultural understanding, teamwork, innovation, and adaptability. You will be part of the Housing & Student Life Department, working also closely with the Facilities Department.
Job Details
The position is full-time (37 hours/week) including working a few weekends per year.
Employment begins January 1, 2025 or as soon as possible.
