Personal Assistant to CEO & Head of Smart Infrastructure Nordics and Country CFO

We are looking for a highly organized and proactive Personal Assistant to support our CEO & Head of Smart Infrastructure Nordics and our country CFO. The ideal candidate will be a self-starter, capable of handling various administrative tasks, and able to maintain confidentiality. This role is crucial in ensuring the smooth operation of the CEO and CFO’s office and assisting in managing their daily responsibilities.
Key Responsibilities
- Calendar Management: Efficiently manage the CEO & Head of SI Nordics and country CFO’s schedule, including scheduling meetings, appointments, and travel arrangements
- Communication: Act as a liaison between the CEO & Head of SI Nordics, the country CFO and internal/external stakeholders, handling emails, calls, and correspondences
- Travel Coordination: Arrange and coordinate travel itineraries, including flights, accommodations, and transportation
- Document Management: Organize and maintain important documents, reports, and presentations
- Meeting Support: Prepare agendas, attend meetings when required, and take accurate minutes
- Expense Management: Keep track of expenses and maintain financial records
- Event Planning: Assist in organizing company events, conferences, and seminars
- Research: Conduct research on various topics as requested by the CEO & Head of SI Nordics and country CFO
- Task Prioritization: Help the CEO & Head of SI Nordics and Country CFO to prioritize tasks and deadlines
Qualifications
- Previous experience as a Personal Assistant to a CEO/Director of a large corporation is necessary
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Proficiency in using office software (Microsoft Office)
- Discretion and the ability to handle sensitive information with confidentiality
- Proactive and able to work independently
